A message is useful for a conversation. A dependable workflow also needs a clear owner, a next action and a record of what happened.
Map the current work
Follow one enquiry from arrival to resolution. Identify where information gets repeated, where ownership becomes unclear and where a handoff loses context.
Build the smallest useful system
Define the fields, status changes and responsibilities before selecting tools. A bounded enquiry or approval workflow can be a practical learning brief.
Test the handover
Can another person use the system, handle an exception and understand the record? Documentation and explanation are part of delivery, not an afterthought. This is an illustrative learning example, not a customer case study.
